Job Description:
Job Summary:
The Flight Coordinator will provide support to the PACCAR flight department by coordinating travel arrangements for senior executives and officials.
Key Responsibilities:
- Book and modify aircraft reservations
- Manage CEO approval process for all trips
- Coordinate trip arrangements, including FBO notifications, ground handling, fuel and catering arrangements
- Make hotel and rental car bookings for crew members
- Prepare trip packets for crews
- Coordinate crew and maintenance schedules
- Obtain required aircraft and crew permits/visas for international travel
- Provide flight tracking details for company personnel and ground transportation support
- Post-flight: maintain flight and crew duty records
Additional Responsibilities:
- Back up department Accountant duties during absences
- Coordinate scheduling duties handoff prior to absences
- Department Security focal
- Manage and pay invoices for international fees
- Manage Aircraft document renewals for registration, insurance, landing permits, Customs decals, CANPASS program, etc.
Qualifications and Skills:
- Strong interpersonal and communication skills
- Excellent PC skills (Excel, Word, Outlook, and internet)
- Highly developed organizational, planning, and detail-oriented skills
- Ability to maintain confidential information
- Ability to interact with senior executives and officials inside and outside the company
- Ability to work under deadlines and Indiana a fast-paced environment
- Knowledge of aviation terminology and experience with flight scheduling software
