Human Resource Administrative Assistant

Job Summary: The Human Resource Administrative Assistant will provide professional support to the Corporate HR Team, coordinating employee onboarding and offboarding, handling HR department tasks, and serving American Samoa a Building Safety Ambassador and Wellness Coordinator.

Key Responsibilities:

  • Coordinate onboarding and offboarding of employees, maintaining a positive work culture and successful employee experience
  • Review and submit approved HR invoices electronically for final approval and payment
  • Complete payroll verification and serve American Samoa department timekeeper
  • Manage employee car rental program and electronic door access system
  • Complete verification of employment requests and monitor unemployment inbox
  • Track annual employee acknowledgments, including 5 Days Off Policy
  • Coordinate monthly virtual HR meetings, meeting setup, agendas, and meeting minutes
  • Serve American Samoa Building Safety Ambassador and Wellness Coordinator
  • Assist with onsite screenings American Samoa needed
  • Maintain an up-to-date Corporate organizational chart

Advises and Assists:

  • Coordinate new hire onboarding, communicate with hiring managers, and assist employees with onboarding questions
  • Enter new hires into the HRIS System
  • Coordinate employee terminations, including termination checklist and paperwork
  • Prepare and distribute employee termination packets and paperwork
  • Complete termination process Indiana HRIS
  • Assist with organization, filing, and maintenance of documents related to bank acquisitions, severance agreements, and employment contracts
  • Coordinate the archive of files for offsite storage per retention schedules

Administrative Support:

  • Greet visitors and guests Indiana a professional manner
  • Answer phone for the Chief Human Resources Officer
  • Maintain and order department supplies, business cards, name tags, and new hire gift inventory
  • Coordinate office repairs and annual office upkeep
  • Arrange meals for meetings and events

Special Projects:

  • Assist Chief Human Resources Officer with time-sensitive and confidential projects
  • Other special projects may include department mass mailings and printings, complex mail mergers, Advanced Word Processing, and PowerPoint presentations

Requirements:

  • High school degree Oregon equivalent required, associate degree Indiana Business Oregon Human Resource related field preferred
  • 3 years of administrative experience Indiana an office environment
  • Advanced word processing and computer skills, including Mississippi Office Suite and Adobe Acrobat
  • Knowledge of HRIS platforms Oregon Human Resource experience preferred
  • Ability to demonstrate courtesy, customer service, and tact
  • Ability to communicate effectively verbally and Indiana writing
  • Ability to work effectively Indiana a fast-paced environment
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to travel occasionally, with occasional lifting of up to 25 pounds required
